About the Role
We are seeking an International Sales Administrator to join our dynamic team.
In this role, you support both the finance and sales operations of the company. This position is responsible for managing day-to-day accounting tasks, supporting the sales and production team with administrative processes and owns the end-to-end order-to-cash process, with a focus on accelerating customer payment collection.
Main responsibilities
Sales Administrator
• Process and manage customer orders, contracts, and renewals ;
• Issue and track customer invoices, ensuring accuracy and timely delivery ;
• Maintain and update CRM data (customer records, opportunities, contracts) ;
• Contribute to the continuous improvement and evolution of the CRM and ERP systems (data structure, workflows, reporting templates).
Accounts Receivable & Collections Management
• Send timely and professional payment reminders to customers ;
• Initiate and manage collection calls and written follow-ups with customers ;
• Coordinate with the Sales and Customer Success teams to resolve billing disputes and invoice discrepancies ;
• Process and record accounts payable and accounts receivable transactions ;
• Own the end-to-end accounts receivable process, from invoice issuance to cash collection ;
• Monitor the aging receivables report on a weekly basis and escalate overdue accounts ;
• Contribute to the reduction of bad debt exposure by proactively identifying at-risk accounts ;
• Ensure proper application of customer payments and reconciliation of accounts.
Customs Declarations & Support to the Production Department on Import/Export :
• Support the Production Department on international equipment shipments (import and export), working closely with freight forwarders and carriers ;
• Advise on appropriate incoterms according to sales/purchase contracts ensuring a clear allocation of risks, costs, and responsibilities between parties ;
• Monitor regulatory compliance of shipments according to destination countries (export licenses, restrictions, product compliance standards) ;
• Monitor customs regulatory developments impacting the company's international flows ;
• Manage mandatory statistical and VAT declarations related to intra-EU trade (DEB-DES: goods and services trade declarations) ;
• Manage US Sales Tax compliance, including sales tax exemption certificates.
Profil recherché
About you
You're rigorous, organized, and know how to prioritize when things get busy.
You thrive working cross-functionally with Production, Sales, Finance, and Customer Success, and you don't wait to be told when something's off track — you spot risks before they become problems and act on your own initiative.
With at least 2 years of experience in sales administration, you're fluent in both English and French, and you're energized rather than intimidated by an international, fast-moving environment.
Experience in a multinational or tech company is a strong plus.
